Directory Sync overview

Hi everyone, welcome back to Mio Academy. I'm Jacob, and in this module, we will explore Mio's Directory Sync feature. This lesson will provide an overview of Directory Sync, explaining its importance and how it helps manage users across different platforms.

Directory Sync is a powerful feature that ensures your user directories are synchronized across multiple platforms. This means that when you add or remove users from your primary directory, these changes are automatically reflected in the addition or removal of guest or interop accounts. This ensures seamless communication and user management.

How do I prepare my users for Directory Sync?

To begin, you will set up primary user groups in either Microsoft Entra ID or Google Workspace, leveraging birthright scripts or dynamic groups to auto-assign membership. Mio uses these directories to ensure that the primary users are correctly grouped and synchronized.

Will users get deleted from Mio if they are removed from my Directory Sync group?

If a user is off-boarded, deleted in their tenant, or simply removed from the group, their secondary interop or guest account will be unsynced and deleted. This ensures that your user directory is always up to date and accurate. But, if the user belongs to an imported Microsoft Teams team or is imported from a connected Google Workspace tenant, they will still be visible in User Sync.

Can my Entra ID group be a security, dynamic, or M365 group?

Mio only supports synchronization with security groups, but birthright scripts can be used to manage security group membership.

What happens if a user is in both groups?

If a user is in both Entra ID and Google Workspace groups, they will be synced as a primary user on the platform that Mio processes first.

Can I pause a group from syncing?

You might need to temporarily pause a group sync. If a group is paused, no new changes will be synced until the group is resumed. This can be useful during maintenance or when making significant changes. For more details, you can refer to our help article on pausing groups.

Set up Entra ID security groups

Hi everyone, welcome back to Mio Academy. I'm Jacob, and in this lesson, we'll cover how to set up Entra security groups for Directory Sync with Mio.

Creating an Entra ID security groups

First, let's create an Entra security group. Log in to your Microsoft Entra admin center and select Groups, then All Groups.

Click New Group and fill in the required information. We suggest naming the group either Microsoft or Google Chat Primaries, depending on the set of users you are planning to populate the group with.

Select a predefined membership type. Mio recommends you use a dynamic group for group creation, allowing you to automate membership updates via filters. Then click Create to confirm.

  • Be sure to add an initial expression rule when creating your dynamic group.

Set up Google groups

Hi everyone, welcome back to Mio Academy. I'm Jacob, and in this lesson, we'll cover how to set up Google groups for Directory Sync with Mio.

Creating dynamic Google groups

Mio recommends creating a dynamic group in order to reduce administration when managing user directories. 

  • Note that you cannot convert a normal Google group to a dynamic Google group. All membership changes in normal Google groups will be manual.

Now, let’s create a dynamic Google group. 

Log in to your Google Admin console and navigate to the left sidebar. Click Directory and then Groups. Click Create dynamic group.

Next, you will create conditional rule sets to populate the group with Google primaries. For example, you may select organizational units to populate the group. 

Then, fill in the requested information. We recommend naming the group "Google primaries."

Click Preview, then Create dynamic group to complete the process.  

While Mio recommends dynamic Google groups, you can follow the instructions in this article if your company prefers regular Google groups.

Syncing users with Directory Sync

Hi everyone, welcome back to Mio Academy. I'm Jacob, and in this lesson, we'll cover how to set up Directory Sync with Mio.

Before proceeding with these steps, make sure you’ve created a Microsoft Entra ID group and a Google group. You can refer to lessons 3.2 and 3.3 if you haven’t already done so. 

Syncing your users with Directory Sync

In the Mio Admin Hub, navigate to the Directory Sync section of the Users tab, and follow the directions to create groups if you haven’t already done so. 

Now, we’ll assign your primary user groups. 

Let's start with Microsoft Teams. Select the platform where your Microsoft users are defined, and search for your Microsoft Primaries group. 

Next, let’s assign your Google Chat group. Google users may be managed in either Google groups or Microsoft security groups. Choose the platform where the Google Primary group is located. Then search for and select the correct group. 

Once you’ve selected your Google and Microsoft groups, click Continue

Finish setting up Directory Sync by clicking Import and sync users. 

After syncing, you can verify the sync status in the Mio Admin Hub. You'll see that the group members are now reflected in Mio, ensuring that your user directory is up to date.
