Learn how Mio's User Sync feature allows Google Chat and Microsoft Teams users to connect via direct messages and group chats.

Hi everyone, welcome back to Mio Academy. I'm Jacob, and in this module, we will explore User Sync. 

What is User Sync?

User Sync is a powerful feature that allows Google Chat and Microsoft Teams users to send direct messages and group chats to each other. 

Let’s dive into how User Sync works.

Importing Users

To import users, we’ll head to the Mio Hub. Select ‘Users’ in the top navigation bar, then the Import users tab. This is where admins of Google and Microsoft can import their teams and users. 

For Microsoft Teams, select Add teams. You will be able to select the teams that house the users you would like to sync for cross-platform direct messaging. 

For Google Chat, you can Import all users. 

The next step is to sync the imported users for cross-platform messaging.

Syncing Users

After importing your users, it's time to sync them. 

In the Sync users tab, you'll see a list of users, their email addresses, and columns denoting their primary and secondary platforms. Select the correct primary platform for each user. 

In this scenario, Greg is set as a Google Chat primary user but wants to chat with users on Microsoft Teams. Clicking the Sync Microsoft button in the Secondary platform column will display a popup asking to provision a guest account to represent Greg on Microsoft Teams.

Once you click the Create Guest Account button, Mio will automatically provision a Microsoft Teams secondary guest account and sync it with his Google Chat account.

Greg is now ready to send and receive direct messages to any colleague who uses Microsoft Teams. There are no end user actions necessary.

User Sync Statuses

After syncing, you’ll notice different statuses next to users' names. 

  • SYNCED means the user can now send cross-platform direct messages. 
  • PENDING indicates that the sync is in progress and awaiting user action. This typically means that the user has not accepted the Mio app’s prompt, but this only applies to organizations that have users who are licensed on both platforms.
  • FAILED means the sync attempt was unsuccessful. 
  • BLOCKED indicates that the user has blocked the Mio bot on their primary platform.

Do I have to manually sync all users?

Manually syncing users in the Mio Hub is just one way to enable cross-platform direct messaging.

Mio automates most of the process with our Directory Sync feature, making it easy to manage your users in bulk and in real time.

What happens if a user is deleted or offboarded?

If you chose to manually sync your users, you will have to manually unsync their account in the Mio Hub.

If you have set up Directory Sync, user visibility in the Mio Hub reflects your Google or Entra ID group. If a user is deleted or offboarded from either group, they will be removed from the Mio Hub as well.  

If I unsync a user, will their guest/interop account be deleted?

Yes, unsyncing a user will remove their guest or interop account, maintaining clean and accurate directories.

Do all users need to be synced to chat?

We recommend syncing all users in your organization for cross-platform chat because your end users will not know which colleagues are primarily on Google Chat or Microsoft Teams. When all of your end users are synced, this allows for the most seamless experience. End users can then send a direct message to any colleague without worrying about whether their message is delivered to the right platform.
